A Guide for Successful Event Planning

Determine the "Five W's" for the event

  1. What is the purpose or goal for this event?
  2. When should this event take place?
  3. Where should this event take place?
  4. Who should be invited to this event?
  5. Which services are needed for this event?
    (catering, audio/visual, setup, etc.)

Select several candidate dates

Review the , Key Event List, National Holidays, and calendars of the VIP guests to determine 3-4 possible dates.

Request Event Space in the (60 days prior)
  • Reserve necessary equipment
  • Reserve audiovisual (AV) technicians, if needed
  • Reserve facilities needs GVL & enter separate request to physical plant for DAH
  • Reserve other required services: University Police, Parking Services, Catering, etc.
