ES208.01: How Do I Submit an Absence\Leave Request?

Welcome to this video on how to request an absence or leave.

In OneUSG Connect, when you need to request leave or time away, you will request an absence. When you use the Request Absence feature, the request is automatically sent to your manager or designated time approver for approval. 

They receive a notification and can easily work on your request. Also, you can use the Request Absence feature for future or past absences. We'll walk through an example of both in this video.

From Employee Self Service, select the Time and Absence tile.

Click Request Absence.

In OneUSG Connect, fields that are required have an asterisk. So we'll open the drop down for Absence Name.

In this example, we're entering an absence request that happened in the past. Specifically, we are entering a sick leave request for a day we missed earlier in the week. Please note that while you can easily enter past absence requests, it's best practice to enter them as soon as you are able.

We'll select Sick leave.

For the start date, you can enter a date or use the calendar look up.

We'll select 7/28.

The end date automatically populates. If requesting more than one day, simply update that date.

In the Comments field, we'll enter Out Sick.

Notice the balance information. The application will show you your current balance for that type of leave. The balance is current as of the last processing date and will not include recent requests that have not been processed. When your institution first goes live on OneUSG Connect, please be aware that your balances will reflect 0. This will be the case until your first pay period is processed. The balances will be updated following that.

Next, we can click Submit.

And confirm that we want to submit the request.

And we get confirmation that our request was submitted for approval.

Now, let's schedule some vacation.

Again, select the Time & Absence tile.

And choose Request Absence.

Open the Absence Name drop down.

This time, we'll choose Vacation.

We want to take off a few days beginning August 23rd, so we'll click the Start date calendar icon.

And we'll go to August and select 23.

And we'll click the End Date calendar icon.

And we'll select August 25th.

In the comments, we'll enter Beach Vacation.

Again, we can see our current leave balance for annual leave. Remember, when you first go live on OneUSG Connect, this will be 0 until your first pay period is processed.

And we'll click the Submit button.

And click Yes when you get the confirmation message.

And our request has now been sent to our manager for approval.

And that is how you submit an absence request in OneUSG Connect.

ES208.02: How Do I Submit a Partial Day Absence (Leave) Request?

Welcome to this video on how to request a partial day absence.

In OneUSG Connect, when you need to request leave or time away, you will request an absence. When you use the Request Absence feature, the request is automatically sent to your manager or designated time approver for approval.

They receive a notification and can easily work on your request. Also, you can use the Request Absence feature for future or past absences. In this video, we'll show you how to request an absence that is for just a partial day.

From Employee Self Service, select the Time and Absence tile.

Click Request Absence.

In OneUSG Connect, fields that are required have an asterisk. So we'll open the drop down for Absence Name.

For this example, we need to record two hours of sick leave because of a doctor's appointment we had yesterday. So we'll select Sick leave.

For the start date, we'll click the calendar look up.

And choose the 28th.

We'll leave our end date as is, since we are only taking two hours of leave.

Notice that the duration indicates 8 hours. To indicate a partial day of leave, we'll click the Partial Days selection.
And we'll open the Partial Days drop down.

When you are only requesting a partial day for just one day of leave, you can select either All Days or Start Date only...it's the same thing. If you are taking multiples days of leave, you can select partial days on all days, the start date only, the end date only or both the start and end date. We'll select All Days for this example.

Now, we can enter 2 hours for the duration.

And then click Done.

And the Duration reflects 2 hours now.

We'll enter Doctor's appointment in the comments.

Note that the balance for this type of leave is listed. Please be aware that when your institution first goes live on OneUSG Connect, your balance will reflect 0 until your first pay period is processed. Following that, your balance will be current.

And we can click the Submit button.

Click yes for the confirmation.

And our 2 hour absence request is on its way to our manager for approval.

And that is how you can request a partial day absence in OneUSG Connect.

ES208.03: How Do I View My Submitted Absence Request?

Welcome to this video on viewing your submitted absence requests in OneUSG Connect.

You can easily view all of your submitted absence requests in one place and see what their statuses through Employee Self Service.

After launching OneUSG Connect, click the Time and Absence tile.

Then, select Absence Request History.

Notice that you can input a date range. You can enter new dates directly in the fields or use the calendar icon. For this example, let's look at everything this year.

I'll select January and then click 1.

And for through, I'll enter 12/31/17.

Now, we'll click Refresh.

All of your absence requests and their status will be listed. To see the details of a request, click the Absence Name link.
Here you can see the details and request history. This includes when your request was approved.

Click Return to Absence History. Keep in mind, this page will only show absence or leave requests that were submitted through OneUSG Connect. Absences that were submitted through ADP or another means will not be detailed here.

And that is how you can view your submitted absence requests in OneUSG Connect.

ES208.04: How Do I Request an Extended Absence?

Welcome to this video on requesting an extended absence.

In OneUSG Connect, you can request an extended absence for things such as Military Leave, FMLA, or Workers' Comp. This request is then sent to your HR department for approval. If additional information or documentation is required, they will contact you.

Once you are in OneUSG Connect and are in Employee Self Service, select the Time and Absence tile.
Select Extended Absence Request.

Input or select the start date of the extended absence.

Enter your expected return date. It is okay if this ends up changing, but you need to enter a date in this field.

Then, select the Absence Name drop down and select the type of extended absence.

Enter comments regarding the request.

And then click Submit.

Answer yes if you're sure you want to submit the request.

And click OK for the confirmation.

Your request is then routed to HR who will work with you regarding any additional documentation or paperwork.

And that is how you request an extended absence in OneUSG Connect.

ES208.11: How Do I Edit an Absence Request I Submitted?

Welcome to this video on editing an absence request that you submitted.

If you have submitted an absence request and find that you need to change something on your request, you can edit a submitted or approved absence request until it has been processed at the end of the pay period. You will use the timesheet to edit the request.

Once you are in OneUSG Connect and are in Employee Self Service, select the Time and Absence tile.

Select Weekly Timesheet.

The timesheet opens to the current pay period. Click the Absence tab.

Locate the absence you wish to edit and click its Edit button. If the Edit button is grayed out, then the absence has already been processed in OneUSG Connect and you will need to contact your manager for assistance.

After clicking the edit button, the date fields and absence name drop down is enabled. Make any necessary change to these here. If you need to update details such as partial hours, click the Details link.

For the example, this was just supposed to be for half a day. Under Partial Days, we'll select All Days.

And then we'll enter 4 in the All Days Hours field.

And click Calculate Duration.

You can input comments in the Reporter Comments field. If this absence request was already approved, it may be very helpful if you indicate why you are resubmitting the request, as it will require approval again.

When done, click OK.

Finally, click the Submit button to submit the request for approval or re-approval.

And that is how you can edit an absence request.

ES213.01: How Do I View My Weekly Reported Time?

Welcome to this video on how to view your weekly reported time in OneUSG Connect.

When recording your time, you report it through your timesheet, the web clock, or a Kaba time clock. This is dependent upon how your institution set you up in the system. All employees can view their reported time via the Weekly Timesheet.

Reported time is the original time that you report or that is captured by a time clock or web clock. Your reported time will be converted to payable time, which is the basis of your paycheck. Rounding rules will be applied to your reported time.

After launching OneUSG Connect, click the Time and Absence tile from Employee Self Service.

Then, select Weekly Timesheet.

Depending on how you report your time, this may be an active sheet or a read-only sheet. However, the layout will be the same for viewing your reported time.

Your timesheet will open to the current date. Use the Previous Week and Next Week links to navigate. You can also change the date and then click the Refresh icon. For this example, let's view the week of July 23.

If you report your time through the Elapsed timesheet, you will see a display like this. The hours you reported for each day will be displayed with it's time reporting code.

If you report your time through the punch timesheet, web clock or kaba time clock, your weekly timesheet will look like the one displayed here. You will see the punch in and out times throughout the week, as well as the total hours for each day.

Under the timesheet are various tabs. In Reported Time Status, you can see that your time has been submitted for each of these days.

If you have any recorded absences, they will appear on the timesheet as well as on the Absence tab. Here, you can see the status of the leave request.

If you have any exceptions, you can see them through the exception tab.

And finally, the Payable Time tab displays your processed reported time and the payable status. Remember, due to rounding rules and any rules regarding how early you are allowed to punch in for a shift, your payable time may vary slightly from your reported time.

And that is how you can view your weekly reported time in OneUSG Connect.

ES213.02: How Do I View My Payable Time?

Welcome to this video on how to view your payable time in OneUSG Connect.

Payable time is the time that you reported after it has been processed. Your manager or designated time approver actually approves your payable time. Payable time may vary slightly from reported time if any rounding rules were applied.

After launching OneUSG Connect, select the Time and Absence tile from Employee Self Service.

Then, select Payable Time Summary.

First, you can update the week you are viewing by selecting the Previous Week or the Next Week links. You can also update the Start Date and click the refresh icon.

In this week, we can see the payable hours for each day. If we go to the next week, we can see that there's no payable time because we have not reported our time yet. Let's go back to the previous week.

To see additional detail, click the Detail Page link.

The Payable Time Detail page provides the status and quantity, as well as estimated gross.

If you go to the Cost and Approval tab, you can see when your timesheet was approved if you need to see that.

Note that you can also get to the Payable Time Detail page by selecting it in the Time menu.

And that is how you can view your Payable Time in OneUSG Connect.

ES213.03: How Do I Use the Time and Labor Launch Pad?

Welcome to this video on using the Time and Labor Launch Pad in OneUSG Connect.

The Time and Labor Launch Pad allows you to see various time categories on the same page. You can see your reported time, payable time and forecasted payable time, as well as any exceptions.

After launching OneUSG Connect, select the Time and Absence tile in Employee Self Service.

Then, select the Time and Labor Launch pad item.

First, you can navigate to a different month by using the Month and Year drop downs or the Previous Month and Next Month links.

Then, select what you would like to view through this top drop down. Let's first look at Schedule hours. After making a selection on this page or changing anything, make sure to click the View button.

Our scheduled hours are listed for each day. The codes indicate if time has been reported and converted into payable time yet. E means this is reported elapsed time. P would indicate reported punch time. The dollar sign indicates that day's hours has been converted to payable time.

To see a day's details, click the date link.

And we can see that we had 8 hours of elapsed time that we reported. And it was processed into 8 hours of payable time, which our manager still has to approve.

Let's go back to the Calendar.

Notice that you can select to see other time besides scheduled hours.

Another thing that you can do from the Time and Labor Launch Pad is jump to another page. In the Links section, you can see that you can jump to your Monthly Schedule and your timesheet, as well as views of detailed payable time and forecasted payable time. Just make a selection and click Go.

And that is how to use the Time and Labor Launch Pad in OneUSG Connect.

ES213.04: How Do I View My Compensatory Time Balances?

Welcome to this video on how to view your comp time within OneUSG Connect.

When you need to view any earned comp time for hours you have worked, you can easily view the time in the OneUSG Connect.

After launching OneUSG Connect, select the Time and Absence tile from Employee Self Service.

Select Absence Balances.

If you are eligible for comp time, you will see a line here for your comp time balance. Your balance as of the last processing date is listed. At times it may be important to know your comp time balance. If you qualify for earning comp time and have a balance, there are times you will be required to use it in place of leave hours.

Comp time balances like other absence balances will update following the pay period close.

And that is how you can view your comp time balances in OneUSG Connect.

ES213.05: How Do I View My Timesheet Exceptions?

Welcome to this video on viewing your timesheet exceptions in OneUSG Connect.

Exceptions are generated when time is reported and either an aspect of the time is incorrect, or the time does not comply with a user-defined rule. Some exceptions must be resolved by your manager before they can be further processed, while others may be allowed to pass through. You have the option to view your exceptions in OneUSG Connect.

After launching OneUSG Connect, select the Time and Absence tile from Employee Self Service.

Select Exceptions.

If you have any exceptions, they will be listed here. The Overview tab indicates the exception, as well as the date of the exception.

The Details tab provides just a bit more information, including the Exception Data. Here it looks like we reported 18 hours on the 17th.

Our Manager or designated Time Approver will have to clear the exceptions for us. Depending on the exception, they must either correct the issue or allow the exception.

You can also see your exceptions on your timesheet.

Here in our Reported Time status on our timesheet, the icon indicates that there is an exception.

The information is the same; it's just a different way to view it.

And that is how you can view your exceptions within OneUSG Connect.

ES300.01: How Do I Use the Company Directory and View an Org Chart?

Welcome to this video on how to use the company directory and view an org chart in OneUSG Connect.

Within OneUSG Connect, we now have a company directory that spans all institutions that are on OneUSG Connect.

Therefore, within a few years, we'll have one common directory that we can use. With the company directory, you can search for people, view their contact information, and see where they reside in their org chart.

After launching OneUSG Connect, select the Company Directory tile. You can reach this time from either Employee Self Service or Manager Self Service.

Now, we can search the directory. Note that you can search by name, a job title, a location, etc. For this example, let's search for people that work with Purchasing. So we'll enter purchasing and then click the search button. And our results show those individuals with Purchasing in their job titles.

Let's search for Finance this time.

Click in the search field and click the x to clear the field. Then we'll enter finance and click Search.

Since we have 14 results, we can filter through the selections on the left. To apply a filter, simply click that link. You can select another link if you wish to further filter the list. To remove a filter, click the x button on the selection.

But let's take a look at this employee. You can see the email address and phone number is listed. To take a closer look, select the employee's row.

Here is their contact information again. If this is someone that we may be contacting often and want to save as a Favorite, we can click the Add to Favorite Profiles link.

And notice the View Org Chart link. Whenever you search the directory and then select an employee to view, this link should appear. You can see the org chart for this person.

The person you selected shows up in green. Note that you may have to scroll to see everything. For each person in the org chart, you can see how many direct reports they have. This particular one has 5, so there are 5 boxes below.

To see additional information about a person in the org chart, simply click that box.

And then, their org chart is displayed.

Let's go back to the original employee's profile.

And then we can return to the Company Directory.

You'll notice that anyone you recently searched for will show up in your Recently Viewed section. Any saved favorites will also be listed here. As more institutions deploy OneUSG Connect, the Company Directory will simply continue to grow.
And that is how you use the company directory and view an org chart in OneUSG Connect.

ES405.01: How Do I Request a Reissued W-2?

Welcome to this video on requesting a reissued W-2 in OneUSG Connect.

If for any reason you need to request a copy of your W-2 for from your institution, you can make that request in OneUSG Connect through Employee Self Service. This applies to W-2s that were produced in OneUSG Connect.

After launching OneUSG Connect, click the Taxes tile in Employee Self Service.

In the menu, select W-2 Reissue Request.

Enter the year you wish to request the W-2 for. For this example, we'll enter 2016.

Then we can use the drop down to indicate where we want this reissued W-2 delivered.

We are going to select Home Address.

And then we can click Submit.

Then click OK for the confirmation.

And that is how you request a reissued W-2 within OneUSG Connect.

ES406.02: How Do I Update My W-4 Information?

Welcome to this video on updating your W-4 information in OneUSG Connect.

The Federal Government requires your employer to withhold federal income taxes from your paycheck. You have the option to view and update your W-4 tax information directly within OneUSG Connect.

After launching OneUSG Connect, select the Taxes tile in Employee Self Service.

In the menu, select W-4 Tax Information.

On this page, you can make updates to your withholding information.

For this example, we are going to indicate we are married, but want to have our withholding at the single rate. We also to withhold an extra $25 from each paycheck.

We'll leave the number of allowances at 1.

We'll also leave the Single radio button selected, and we'll check the first checkbox indicating that we're married but want withholding at the single rate.

We'll also enter 25 in the Additional Amount field.

If your last name on this page differs from what is on your Social Security Cart, select this checkbox.

If you are claiming exception from withholding, indicate the year and indicate that you meet the conditions to claim exempt status. For our example, we can leave this blank.

Now, we can Submit.

Next, we need to enter our password for OneUSG Connect.

Note that the submission was confirmed, but that the new withholding may not be reflected on your next paycheck. This depends on when you submitted this change in relation to pay period processing.

And that is how you can update your W-4 Tax Information in OneUSG Connect.

ES406.03: How Do I Update My G-4 Information?

Welcome to this video on updating your G-4 information in OneUSG Connect.

The State of Georgia requires your employer to withhold Georgia taxes from your paycheck. In OneUSG Connect, you can view and update your G-4 tax information through Employee Self Service.

After launching OneUSG Connect, click the Taxes tile from Employee Self Service.

Then, select G4 Employee Self Service in the menu.

On this page, you can make updates to your state withholding. Be sure to read through the instructions on this page if you are making changes.

For our example, we are want to change our status to Married filing joint, one spouse working. We also want an additional $25 withheld from every paycheck to go to state taxes.

First we'll update our Marital Status selection.

And we'll enter $25 in the Additional Amount field.

This last checkbox is if you are claiming exemption from withholding, so we'll leave it unselected.

And then we can click Submit.

And click OK on the confirmation page.

And that is how you update your G4 state tax withholding information in OneUSG Connect.

ES406.04: How Do I Submit My Consent to Receive an Electronic W-2 Form?

Welcome to this video on submitting your consent to receive an electronic W-2 Form.

Your W-2 form is a statement sent to employees at the end of each tax year for use in preparing their tax returns.

By receiving your W-2 electronically, you are protecting your information by ensuring that only you receive your W-2.

With OneUSG Connect going live, you will need to provide your consent to receive an electronic W-2 with our new system. To receive your current year's W-2 electronically, you need to enroll by December 31st.

Once you are in OneUSG Connect and are in Employee Self Service, select the Taxes tile.

And from the menu, select W-2/W-2c Consent.

Your current consent status of receiving your W-2 electronically is listed here.

To give consent, click this checkbox for indicating your consent to receive electronic W-2 and W-2c forms.

Click Submit.

And then click OK.

Notice that your current status is now Consent received. This consent will carry forward each year from now. You do not need to come in and do this every year.

After you confirm you consent submission, you will receive an email confirmation of your change.

If at any time you wish to remove your consent and receive a paper W-2, come back to this page and follow the instructions to withdraw consent.

And that is how you can submit your consent to receive an electronic W-2 form in OneUSG Connect.

ES408.01: How Do I Use the Paycheck Modeler?

Welcome to this video on using the Paycheck Modeler in OneUSG Connect.

In OneUSG Connect, you have access to a new feature called the Paycheck Modeler. With the paycheck modeler, you can determine what your take home pay would be if you adjusted your earnings, your deductions, or your tax information.

From Employee Self Service select the Paycheck Modeler tile.

This first part of six steps just tells you what the paycheck modeler is. You must also agree to the terms and conditions before the system will allow you to use the paycheck modeler.

Note that this is confidential information and you should only be doing this for yourself. If your name is not listed here, contact your Payroll Department.

Remember that this modeler is just to provide estimates of a revised paycheck. There is no guarantee the amounts will be exact if you make these changes.

Also, please note that you may not be able to use the Paycheck Modeler until your first paycheck is produced in OneUSG Connect after going live.

To get started, first agree to the terms and conditions by selecting the checkbox.

And then once enabled, select the Let's get started button.

Before we make any changes, let's take a look at what our paycheck currently looks like. It's helpful to create a baseline. To do this, we'll just navigate through the steps.

Our earnings are listed for the pay period, which is a month for this employee.

Click Next to go to the Deductions page.

All of our deductions are listed on this page. You can see which ones are before tax, and which ones are after tax. You can also see the amount for each deduction.

Click Next to go to step 4.

You can see which jurisdictions are withholding tax on step 4.

And on Step 5, you would calculate your changes. Since we didn't make any changes, the calculate button is grayed out. Instead, to see our current paycheck breakdown, just click Next.

You can see the current paycheck results since we didn't make any changes. Our earnings, taxes and deductions are listed in the modeled check results. Note that you can print your modeled check which provides the paycheck breakdown. This opens to a new tab in a PDF file. This may be helpful to have as you are estimating changes.

Towards the bottom of the page, you can see the amounts and percentages.

Now, if you want to make changes to see how your paycheck might change, you can either use the Previous button to get back to the appropriate page to change, or you can select the actual step number.

For this example, let's see how our paycheck might change if we update our earnings, deductions and taxes.

First, we'll click Earnings.

And to edit our earnings for this modeled paycheck, we'll select the Edit icon.

If you are a monthly employee, you will update the monthly amount. If you are a biweekly employee, you will update the hourly rate. Here, let's say we want to factor in a 2% increase, so we'll enter $6208. 65. And then click OK.

Let's go to Deductions.

Here, let's remove the supplemental life insurance by clicking the clear amount icon.

And let's go to taxes now.

We'll click the Edit link for federal withholding tax.

And we are going to increase our allowances to 2.

Then we can click Next to calculate.

Since we made changes, the calculate button is now enabled.

Our check has now been calculated, so we'll clear this message

And click Next.

And now we can see how our paycheck might change based on those changes.

Again, you can print your modeled check.

You can also print what changes you entered. The PDF will detail the original value plus what you changed the new value to.

You can continue to go back, make changes, and calculate a new modeled paycheck. When finished, select Exit.

Click OK to leave the modeler.

And click the Home icon.

And that's how you can use the Paycheck Modeler in OneUSG Connect to determine how your paycheck might change if you made changes to earnings, deductions or taxes.

ES409.01: How Do I View My Paystub?

Welcome to this video on how to view your paystub in OneUSG Connect.

One of the more common tasks you will do in Employee Self Service is review your paystub. You can easily do this in OneUSG Connect.

After launching OneUSG Connect, select the Pay tile.

On this Paychecks page, all of your paystubs produced by OneUSG Connect will be listed here. When you first go live on the application, you will not see any paystubs until your first pay period closes.

As time goes on, you may find the filter and sort functions helpful.

You can filter to review a specific range of dates.

And you can sort by various items, including check date or paycheck number.

To view a paystub, click the row of that particular paycheck.

A new tab or window will open with a PDF file of your paystub.

Here, you can save or print it.

To return to the Paychecks page, we'll go back to that tab.

And that is how you view your paystub within OneUSG Connect.

ES409.02: How Do I Update My Direct Deposit Information?

Welcome to this video on updating your direct deposit in OneUSG Connect.

You can view, edit, add, and delete your direct deposit information for your paycheck through Employee Self Service in OneUSG Connect.

After launching OneUSG Connect, select the Direct Deposit tile in Employee Self Service.

Here on the Direct Deposit page, you can view and modify your direct deposit information.

Before you make any changes, please be aware that you can only add or edit one direct deposit account per day. This is a security precaution.

Also, in OneUSG Connect, you are limited to five direct deposit accounts.

To view information regarding a direct deposit account, you can select the account type link. To make changes, click the Edit button.

For this particular example, we have all of our pay deposited to this checking account. Let's add a savings account so that a portion of our paycheck is automatically deposited to that account.

Before adding a new account, note the deposit type and deposit order. You must have one account saved as Balance of Net Pay. Also, if you have multiple direct deposit accounts, you must indicate the order in which they are paid out to. Your Balance of Net Pay account should be the last one processed, or 999.

To add a new account, select Add Account.

Here, you will enter your bank and distribution information. You must provide the routing and account information from your bank so that your pay gets deposited into the correct account.

If you are unsure where to get some of this information, you can use the View Check example link to see where it exists on checks or deposit slips.

Close the example when you are done reviewing it.

First, enter your bank routing number.

Then, enter your bank account number.

We'll have to reenter our bank account number.

Select the Account Type drop down field, and choose your account type. For this example, we are choosing Savings.

Next, select the Deposit Type from the drop down field.

Here, you can choose if you want the deposit based on amount, percentage, or balance of pay.

For this example, we want $100 of every paycheck to go to this savings account. The balance of our pay will continue to go to our checking account.

So we'll choose amount.

And in the amount or percent field, we'll enter 100.

For deposit order, enter which order this account should be processed. We'll enter a 100 for our savings account here so it is processed first.

After ensuring all of your information is correct, you can click the Submit button.

Once submitted, you should see this page. It also indicates that your changes may not be reflected on your next paycheck, depending on when you made these changes.

Click OK to continue.

And our new savings account is listed, along with our checking account.

Remember, this application has a limit of five direct deposit accounts, and you can only make one direct deposit change or addition in a single day.

And that is how you can update your direct deposit in OneUSG Connect.

ES409.03: How Do I View My Compensation History?

Welcome to this video on viewing your compensation history in OneUSG Connect.

As your career progresses once your institution is live on OneUSG Connect, you can see how your salary changes.

After launching OneUSG Connect, select the Compensation History tile from Employee Self Service.

Your compensation history page will show you when you had salary changes and the type of salary change. Please be aware that salary changes prior to OneUSG Connect going live will not be listed here; only changes after we go live on OneUSG Connect.

To see the details about a salary change, click the Date of Change link.

This will tell you the before and after salary amount, plus the change amount and change percent.

To see a graphical representation, click the chart icon.

Note that you can change the Time Period you are viewing from All to the last 5, 10 or 15 years.

Remember, you will not see individual salary changes that occurred prior to OneUSG Connect going live for your institution.

And that is how you can view your compensation history in OneUSG Connect.

ES500.01: How Do I Work Delegated Transactions as a Proxy?

Welcome to this video working delegated transactions as a proxy in OneUSG Connect.

If a manager has delegated authority to you as a proxy, you are being asked to approve and/or initiate specific types of transactions on their behalf for a specified time frame. You will first need to accept or reject the request. If you accept the request and have been asked to approve items, this will be through the worklist or through time approval. If you accept the request and are able to initiate personnel transactions, this will be through Manager Self Service in the navigator menu.

First, you will receive a notification if you are being requested to be a proxy. Please note that you do not have to be a manager with Manager Self Service to be a proxy. Your notification flag will indicate the request.

Delegation requests can be found through the Actions tab. To see the request, we'll click the link.

To see what we are being asked to do, click the Multiple Transactions link.

Here, we can review the types of transactions we are being asked to be responsible for. We can select the transaction line and click Accept or Reject.

Once we accept or reject, the initiating manager receives an alert indicating our action.

Now that we are serving as a proxy, you need to know how to get to transactions you need to approve or initiate. This video will walk you through the navigation paths. There are specific videos on working specific transaction types.

First, if you have been given the authority to approve time for non-exempt employees, you will be able to approve time during your specified timeframe after they submit their timesheet.

To get to the timesheet, you will select the NavBar icon and choose the Navigator Icon.

We'll go to Manager Self Service.

And select Time Management.

And then select Approve Time and Exceptions.

Finally, click Reported time.

You first need to select the person you delegated authority to you and then click Continue.

Leave the search fields blank and click Get Employees to retrieve all employees who have reported time and that you are authorized to approve.

The resulting list indicates which employees have time ready to approve. For more information on approving time, please view the video and job aid for How Do I Approve Time (MS311.01).

If you have been authorized to approve absence requests or personnel action requests, you will go someplace else to approve or deny those items.

We'll click the NavBar icon again and choose Navigator.

To get to the main menu, we'll choose the back to root icon.

This time we are going to select Worklist.

And from here, you can select either Worklist or Worklist Details.

When you get a transaction that requires your approval, you will receive an email indicating this.

To work a transaction, click its link.

You can review the details and either approve the transaction, deny it or push it back to the originator.

For more information on approving absence requests, see the video and job aid for How Do I Approve or Deny an Absence Request (MS007.01). For more information on approving personnel action requests, see the video and job aid for How Do I Approve or Deny a Submitted Transaction Request (MS001.02).

Finally, if you have been given the authority and find that you need to initiate a personnel action request, you can do so from the Navigator menu as well.

We'll open the NavBar again.

And choose Navigator.

And then Manager Self Service.

Depending on the type of request you need to initiate, you will select a different menu item.

Note the types of requests and where they can be found. For each type of request, there are individual videos and job aids which will give you more detailed information on creating that type of request.

Once you select the type of request you need to initiate, you will first have to indicate that you are acting as a proxy for another manager. Then, you can select the employee and proceed with the request.

Please be sure to review the applicable video or job aid if you are initiating a request. Each request is slightly different.
And that is how you accept a delegation request and approve or initiate transactions as a proxy in OneUSG Connect.

Welcome to this introduction to OneUSG Connect - Benefits. OneUSG Connect - Benefits handles all of your health and wellness benefits.

As a OneUSG Connect participant, you will get to OneUSG Connect - Benefits by launching OneUSG Connect, selecting Benefits in the drop down, and clicking the Manage My Benefits tile.

If you are not yet on OneUSG Connect, you can access the OneUSG Connect - Benefits site by going to the USG Faculty and Staff portal at oneusgconnect.usg.edu. On this page, select the appropriate selection under Manage My Benefits.

Your institution may have also provided you with directions on accessing the Benefits site.

Once you are in the OneUSG Connect - Benefits site, you can review you current coverage, adjust your settings, and view other benefits-specific information.

At the very top of the page you will find the Home icon. Wherever you are in the site, if you click the Home icon, you will return to the home page. If you have any messages, you can access the Message Center through the Messages icon.

Through the Message Center, you have access to a secure mailbox.

And if you have any alerts, you can find them through this tab.

Links to Health and Insurance information can be found here.

The Life Events link will take you to a page where you can record a life event that may result in a change in benefits.

And the Other Benefits information link will take you to things such a disability, lifestyle benefits, and USG perks.

Also at the top will be a summary of your health and wellness benefit selections. You can see that this person has Comprehensive Care for Healthcare, the Delta Dental Base Plan for dental, and no plan for vision.

If you select any of these links, you will proceed to the Coverage Details page for that particular benefit.

From here, you can review your benefits and coverage.

Through the Take Action button, you can find a doctor or change your coverage. You may only change your coverage if you have a qualifying life event.

Through the Coverage Details button, you can choose a different benefit to view.

And the Learn About button provides more information regarding healthcare, materials, and recent requests.

Let's go back to the home page.

When you scroll down the page, you can see some tiles where you can access additional information. To set your delivery preference, you can click this tile.

Here, you can update your email or mailing address.

You can also determine how you want to receive information.

You can set your preference to email or regular mail. Remember to save your changes once you make a selection.

Let's return to the home page.

As you explore the OneUSG Connect - Benefits site, you will learn that it will take you to other sites as well, that are related to your health and wellness. By selecting the Well-Being tile, a new window opens for the USG Well-Being site.

If you select the Your Health and Insurance Coverage tile, you will see all of your benefits coverage as of the current date.

The page opens up to your Healthcare coverage.

If you have a healthcare flexible spending account, the details will be here.

Your prescription drug coverage is listed next.

If you have a dental plan, that information is here.

Information about a vision plan is next, if you have elected that coverage.

If you have a dependent care FSA, that information will be listed here.

Insurance and Other benefits takes you to where you can see items such as life insurance, disability, and other benefits.

Here, you can see coverage choices and carriers.

Back on your Benefits Coverage page, you can see your costs.

This page provides you with your annual and pay period costs.

Back on the home page, if you choose the Find a Doctor, Dentist or Hospital tile, you can choose the appropriate link depending on your coverage.

A new tab opens so that you can find a provider.

Healthcare and benefit elections take place annually during open enrollment. This is generally when you can make changes to your coverage.

You may make changes at other times if you have a qualifying life event.

On the Life Events page, you can access various checklists to guide you through those changes.

Here we can see the checklist for the birth or adoption of a child.

The checklist provides suggested timing and links to important information.

You can see all types of changes through the Family Changes button.

When ready to submit a change to your benefits, you can initiate it from the same page.

The site will walk you through changing your coverage.

Now, let's look at our other benefits.

When you select the Leaves and disability tile, the system will open a new window and take us to our disability provider.

If you select Lifestyle Benefits, you will get a new window displaying the USG's lifeperx benefits program.

When you select USG Perks, you will be taken to the Perks at work site.

And Tuition Assistance Program opens a new page detailing the TAP program.

From the USG Connect - Benefits site, when you select the Your Profile dropdown you can see your personal information, how to set communication preferences, your log on information, and information about beneficiaries and dependents.

The Dependent summary link will take you to the page where you can see all of your dependents.

Next, we'll look at beneficiaries.

Here, you can view or add beneficiaries for any of your life insurance or accidental death and dismemberment policies.

When you are finished working in the OneUSG Connect - Benefits site, simply click the Log Off link.

And that's your introduction to the OneUSG Connect - Benefits site. We encourage you to take a look at the site and see what information is available to you.
